Privacy Policy
Last updated: September 6, 2026
1. Introduction
This Privacy Policy explains how The Learning Clubhouse, Inc. ("Learning Clubhouse," "we," or "us") collects, uses, and protects personal information when you use our website, mobile applications, and software platform (the "Service"). We are a childcare operations platform built for providers, staff, and the families they serve, and we are committed to a human-centric, privacy-first approach.
We do not sell personal information. We design the Service to help you run your center responsibly, and we treat the children and family data you entrust to us with the care that responsibility demands.
2. Information we collect
Account & organization information. When you start a trial or subscribe, we collect your name, email, phone, organization name, center details, and billing address.
Child & family information. You and your staff enter records about enrolled children, families, guardians, authorized pickups, health and immunization data, allergies, consents, photos, daily reports, and attendance. You control this data and who can see it within your organization.
Billing information. Subscription payments are processed by Stripe. For tuition you collect from families, card and bank details are tokenized by Stripe; we do not store full card numbers.
Usage information. We collect device, browser, approximate location (region-level), and interaction logs to operate, secure, and improve the Service, and to provide support.
Support communications. When you contact us by chat, email, or phone, we retain the conversation to help you and improve our support.
3. How we use information
We use information to provide and operate the Service, process payments, send service and account notifications, provide AI-assisted features, secure the platform, comply with legal obligations, and offer the human-centric support we are known for — including onboarding, migration, guided tours, and phone and chat support.
We use aggregated, de-identified information to analyze usage and improve features. We do not use children's personal information to train models in a way that identifies an individual child.
4. Sharing & service providers
We share information only as needed to operate the Service: with payment processor Stripe, cloud hosting and infrastructure providers, and communication tools for email and SMS. Our providers are bound by confidentiality and may use data only to provide services to us.
We may disclose information when required by law, to respond to a verified request from a parent or guardian, or to protect the rights, safety, or property of our users or others. We do not sell or rent personal information to third parties for their marketing.
5. Children's privacy
The Service is a tool for childcare providers and the families they serve; it is not directed to children under 13 for their own use. Children's information is entered by authorized providers and guardians who are responsible for obtaining the consents their jurisdiction requires. Where applicable, we comply with the Children's Online Privacy Protection Act (COPPA) and the Family Educational Rights and Privacy Act (FERPA) principles for educational records.
Parents and guardians may request access to, correction of, or deletion of their child's information by contacting their center or us directly. We will work with the center to honor verified requests.
6. Security
We use industry-standard safeguards including encryption in transit and at rest, role-based access controls, audit logging, and regular security review. No system is perfectly secure, but we treat the protection of child and family data as a first-class responsibility. We will notify affected users and authorities as required by law of any confirmed breach.
7. Data retention
We retain your data while your account is active and for a reasonable period after cancellation to allow export, after which we delete or de-identify it unless retention is required by law. You may request deletion of your organization's data at any time; some records may be retained in aggregated or de-identified form.
8. Your privacy rights
You may access, correct, export, or delete personal information we hold about you through your account settings or by contacting us. You may withdraw consent for optional processing and opt out of marketing communications at any time. Residents of certain U.S. states (such as California, Colorado, and Virginia) have additional rights under applicable state privacy laws; you may exercise these rights without discrimination.
9. Cookies & analytics
We use cookies and similar technologies for authentication, security, and basic analytics to understand how the Service is used. You can control cookies through your browser settings; some features may not function if cookies are disabled.
10. International users
The Service is hosted in the United States. If you access the Service from outside the U.S., your information is transferred to and processed in the U.S. We aim to support applicable data-transfer requirements; for a formal Data Processing Agreement, contact us.
11. Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated policy and, for material changes, provide notice. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
